Essential Functions
- Compiles, processes, and maintains medical records for IPU, consistent with medical, administrative, ethical, legal and regulatory requirements.
- Establishes new patient charts, compiles admission paperwork, transfers forms to patient charts, faxing orders to pharmacy and physicians as needed.
- Greets patients, family members, visitors, volunteers, and staff.
- Handles phone calls as directed (return, accepting, etc.). Takes messages as applicable.
- Responds to patient call bells, advising staff.
- Attends meetings and takes minutes as required; transcribes and disseminates minutes to executive staff; prepares agendas accordingly.
- Copies, files, handles distribution of mail (incoming/outgoing).
- Maintains department personal schedules and reports such as staff work schedules, PTO schedules, etc. Assists with monthly and weekend schedules.
- Maintains supplies, forms, marketing materials and items. Orders as appropriate. May assemble new materials as needed.
- Maintains a filing system for records, reports, minutes, and other documents. Maintains general and staff files as needed.
- Places order for contract/agency staff as directed.
- Copies and distributes changed scheduling information.
- Assists in closing inactive patient charts and chart audits.
- Assists in volunteer task coordination.
- Assists in new staff orientation.
- Assists other staff and/or temporary workers as needed.
- Troubleshoots and maintains office equipment.
- Provides administrative support to other staff members as needed.
- May perform other duties as required.
Qualifications
Minimum Qualifications
- High School diploma plus training/certification in related field required. Associate’s degree preferred.
- Minimum of 1 year of related experience in an office environment, preferably in a health care facility/setting.
- Proficiency in Microsoft Office is required.
