The program coordinator for the Internal Medicine-Pediatrics (Med-Peds) Residency Program supports the program directors in the execution of all elements of the residency program. Exemplary organization, communication, and problem-solving skills are essential for this role. The Med-Peds program coordinator is responsible for collaborating with the program managers in the Pediatric and Internal Medicine residency programs. An office within the Department of Internal Medicine is assigned for the Med-Peds coordinator as a central base, though collaborative work and meetings will occur at Cincinnati Children’s Hospital, the University of Cincinnati Medical Center, and throughout the UC College of Medicine. The typical work week for the Med-Peds program coordinator is Monday through Friday 8am-5pm; however, some evening or weekend events will be required throughout the year. 

Responsibilities

  • Responsibility for receiving and maintaining resident applications, communicating with interested applicants about the application process, setting up candidates interview dates and itineraries for interview.
  • Initiating all the hiring paperwork for the accepted residents to include all HR documents and working with the Hospital GME Office and HR Offices as needed.  Over see processing of all graduating resident’s paperwork.
  • Preparation of annual contracts for residents, processing all licensing, privileging, script pads, badges, keys, pagers, Computer Access training as well as organizing orientation schedules. 
  • Working within the program to compile, organize, and maintain resident schedules to include: call schedule, conference schedule, procedure log, clinic and rotation schedules, and evaluations. 
  • Assuring that ACGME guidelines are met for accreditation purposes. 
  • Entering and maintaining Qgenda for resident schedules
  • Facilitate evaluation committee meetings and semi-annual evaluations.
  • Attendance at the monthly Program Coordinator and Program Director meetings held by the GME office.
  • Maintain the program’s external website and internal shared drives. 
  • Represent the program and department in national organizations or committees (e.g., Association of Med-Peds Program Administrators, Alliance for Academic Internal Medicine, Association of Pediatric Program Directors)
  • Assist program leadership in planning social events for residents and faculty (e.g., graduation, holiday events, wellness gatherings, etc.)
  • Perform other duties as assigned. 

Qualifications

Education & Experience:

Education:

  • Bachelor’s Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Experience:

  • One year of program coordinator experience preferred.
