PRIMARY RESPONSIBILITIES (INCLUDING BUT NOT LIMITED TO)
Operations Support
Pre-Tournament
  • Manage operations compound receiving process: keep daily log of incoming packages, meet trucks on property and coordinate with ops team for unload
  •  Assist the execution of pre-determined fencing plan: picket fence, chain link fence, perimeter fence
  • Assist ops team in the management/execution of on-site sign requests and QC on signs made on-site
  • Provide operational support for all Special Events: Jr. Clinic, Wine & Dine on 9, Birdies & BBQ and Patriots Outpost
  • Assist tournament staff as needed in the execution of special events or general operational needs
Tournament Week
  • Primary tournament week day-to-day operational liaison for Presenting Sponsor and Associate Sponsors: ensuring product delivery to hospitality venues, fielding general inquiries for additional operational needs during tournament week (i.e. bringing extra umbrellas, fielding requests for venue fixes, etc.)
  • Assist in general day-to-day operational QC during tournament week
  • Ensure any/all hand sanitizer, sunscreen fan enhancements on-site are full and operational throughout the day
  • Ensure all sponsors/vendor pre-shipped packages end up at sponsor location
  • Ensure day-to-day on-site presentation (branding, appearance) adheres to agreed upon planning (concession stands, miscellaneous signage, etc.)
Post- Tournament
  • Assist in on-site storage management:
  • Ensure all PODS on-site are empty
  • Confirm pick-up dates for all PODS on-site
Admissions Support

Pre-Tournament

  • Serve as ticket support for general public, members and sponsors (answer ticket line phone calls, emails, walk-ins)
  • Package and ship hang tags to all Bay Hill residents, coordinate pick-up for additional passes
  • Tournament preparation and communication with Bay Hill neighboring communities
  • Create and print credentials for vendors, volunteers, sponsors, staff, etc.
  • Support TOUR ticketing team, Ticketmaster, and API admissions manager with ticket launch
  • Assist with gifting for VIPs, sponsors, vendors, etc.
  • Coordinate drop-off of downtown banners with City of Orlando
Tournament Week
  • Create and print credentials for vendors, players, caddies, etc.
  • Work with the ticketing team and volunteer’s tournament week to ensure smooth operations at gates
  • Track and fulfill last-minute ticket requests
Post-tournament
  • Inventory and dispose of remaining parking/credentials
  • Debrief with tournament staff and provide recap and key learnings from tournament week
  • Perform post-event website scrub and call out where dates/champion info should be updated
  • Coordinate pickup of downtown banners with City of Orlando
Hospitality Support
  • Work with expo partners to coordinate load-in, load-out, daily oversight during Tournament week
  • Work with team to capture on-site sponsor activations (photo/video) and assist with recap reporting for corporate partners post-event
  • Coordinate hospitality partner load-in, set-up, daily deliveries etc.
  • Review/Confirm Salesforce assets/deliverables for hospitality and corporate partners
  • Overseeing Hospitality Area Signage, staging
  • Assist with API Official/Promotional Partner needs leading into and during Tournament week
Honorary Observers
  • Work directly with Business Development Director to oversee and implement the Honorary Observer program
  • Pre-tournament: Manage all sponsor communication to secure and fulfill the HO program
  • Tournament Week: Manage all day to day needs to carry out HO program.
  • Post Tournament: Fulfill all necessary surveys and wrap up of the HO program as required by the PGA TOUR
QUALIFICATIONS AND CHARACTERISTICS REQUIRED
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job without reasonable accommodations:
· Any combination of education or experience equivalent to the graduation of high school or any combination of education, training or experience that provides the required knowledge, skills and abilities to perform to the position standards.
· Microsoft Office software and general office administration tools and equipment
· Excellent oral and written communication skills.
· Ability to follow instructions and complete assigned tasks in a timely manner.
· Possess strong organization skills, exhibit attention to detail and proper record keeping methods.
· Ability to handle multiple projects and provide various accurate reports on a timely basis.
· Ability to work a flexible work schedule.
· Ability to work independently on reoccurring assignments.
PHYSICAL/MENTAL REQUIREMENTS
· Must be able to lift/push/pull up to 30 lbs.
· Must be able to endure long periods of standing, sitting and walking
· Mental demands include learning, thinking, concentration and the ability to work under pressure, particularly during busy times or for special events
