    The Payroll & Benefits Coordinator will handle all aspects of payroll and benefits coordination, including processing payroll and system changes, onboarding new hire information, performing quality assurance reviews, and delivering exceptional customer service. A successful candidate for this position is a detail-oriented, solution-oriented, deadline-driven individual who focuses on accurate data results and excellent communication. This position is hybrid, with the expectation of being in the office two to three days per week.

    Responsibilities
    Payroll:

    Processes payroll (weekly and bi-weekly) accurately, timely, and confidentially using internal payroll software (ADP Workforce Now) for designated company entities.
    Confirms new hire documentation is complete, accurate, and updated before deadlines, including completing Form I-9, verification through E-Verify, and personal/employment/pay and tax profile set up for all new hires.
    Uploads all tax-related documents and mailings to the ADP system through SmartCompliance and monitors the system for updates.
    Assists in annual W-2 processing with ADP and employee communication.
    Coordinates timely processing of employment garnishments, liens, and child support payments through ADP. Provides outsourced resource information for employment verifications.
    Manages the entire cycle of the uncashed checks and escheatment process.
    Stays abreast of current payroll laws and changes to ensure company process & policy adherence.
    Processes incoming payroll mail and distributes it accordingly to designated areas.
    Maintains the designated Payroll and Benefits email inbox and responds to communications within 48-hour company guidelines.
    Conducts quarter-end and year-end duties, ad hoc reporting, and communications.
    Performs additional duties as assigned.

    Benefits:

    Partners with Benefits Manager to ensure accurate processing of Leave of Absence cases
    Assists with reporting and auditing of benefit enrollments and related payroll deductions
    Tracks Cobra payments and reimbursements
    Assists in 401(k) plan auditing, funding, daily tasks, and reporting
    Provides support to Benefits Manager with onboarding new hire benefits
    Collaborates with Benefits Manager and Finance for billing and allocation reports

    Requirements:

    Bachelor’s Degree (Finance, HR, or Business designation preferred) or equivalent experience 
    3+ years of multi-state payroll processing experience
    2+ years experience working in ADP (Workforce Now) 
    Capability to think critically through essential and complex issues with limited supervision.
    Solid interpersonal, organizational, and time management skills with attention to detail while maintaining the integrity of sensitive and confidential information.
    A demonstrated leadership mentality.  
    Excellent communication (written and verbal). 
    Maintains effective working relationships with all employees and relevant internal and external parties/vendors.
    Eagerness to learn and be part of a team.
    Advanced computer skills 
    Adaptability and flexibility to work in a fast-paced and changing environment.
    Qualifications
    Familiarity with human resource and payroll policies and best practices
    Designations/Certifications for role
    Demonstrates a drive for personal accountability
    Multi-state taxation experience related to payroll
    Multi-state benefit and leave process knowledge

    Additional Requirements:  Position requires occasional moving around with light (1-10lbs.) carrying, lifting, pushing or pulling.  The position needs to occasionally move about inside the office to access files, office equipment, etc.  The position is mostly sedentary and requires the employee to have close visual acuity to perform job requirements.  The position requires frequent communication with team members and repetitive motion with the hands, wrists and/or fingers while constantly utilizing a computer. This position is located within an office environment and is not substantially exposed to adverse environmental conditions.
