Job Description

SUMMARY: Reporting to the Vice President for Strategic Enrollment and Communications, provide direction and oversight of all aspects of undergraduate (first year and transfer) and graduate admissions technical systems. Support the design, creation and testing of technology solutions for new and existing systems and modify systems and databases to address enrollment needs. Serve as a primary contact for support and training on the undergraduate and graduate admissions database and application system (Technolutions Slate) and any database-related enrollment projects. Serve as Slate Captain and liaison with Technolutions.

Serve as a lead team-member in the management of the Slate database, and serve as a day-to-day contact for IT, athletics systems, and academic colleagues in the registrar’s office and in retention and student success. Oversee the management of the Admissions databases and online applications, develop testing scenarios and controls, and provide support and guidance for any staff and temporary personnel assigned to enrollment systems projects. Develop and deliver training programs for undergraduate and graduate admissions team on use and new features of enrollment systems and serve as an ongoing resource in the use of the system.

Supervise operations and technology staff and determine project plans and timelines to meet the organization’s enrollment technology needs.

Collaborate with the director of undergraduate admissions, director of graduate admissions, assistant vice president of marketing and communications, and partners across campus on long-term strategy for database-related initiatives and other technical system needs.

This position is expected to be on-campus in Charlotte, NC at least 3 days each week with some flexibility for remote work.

This position is exempt from the provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities include:

  • Oversee the implementation of large and complex database development efforts.  Responsible for prioritizing enhancements and addressing bugs while managing project timelines and other deadlines while directing the management and maintenance of Slate. Work with Admissions, marketing, academic, and athletics staff on testing of changes and enhancements. 
  • Coordinate annual updates of online applications and enrollment forms from a technological perspective. Work with Technolutions and Common App yearly to update and test online application functionality for first-year transfer admission.
  • Work with Technolutions, the director of graduate admissions, and the dean of the graduate school on annual updates and testing of graduate program applications.
  • Coordinate with the IT on vendor contracts, implementations, and integrations.
  • Serve as primary liaison with financial aid, marketing, academics, and athletics to enhance integrations between enrollment CRM (Technolutions Slate) and respective systems on campus (PowerFaids, Jenzabar, Watermark, ARMS, etc).
  • Serve as the lead day-to-day manager of the management of the Slate platform, collaborating with admissions, financial aid, marketing, academics, athletics and IT colleagues on regular flow of information.
  • Research and gather information from multiple sources for highly complex projects and potential new services or technical solutions.
  • Develop high-level timelines for the development of new system enhancements, and track milestones and bugs in project management systems. Coordinate with stakeholders in order to accurately track progress and update goals.
  • Lead and manage the testing of systems, and continuously update testing scenarios as new functionality is developed. 
  • Lead and train staff in system use, and provide ongoing support as needed, including regular updates of reference materials.

Non-Essential Duties

  • Other duties and special projects may be assigned to meet department and university needs.

Qualifications

 

Experience, Knowledge & Skills Required

  • Analytical thinking, technical fluency and the ability to master new software and computer systems required.
  • Experience using Slate (or similar CRM software required). Working familiarity with SQL, HTML, CSS, statistical software, and Microsoft Office preferred.
  • Demonstrated experience defining requirements for systems integrations required. Familiarity with any of the following: Jenzabar, ARMS, PowerFAIDS, Watermark preferred.
  • Must be able to evaluate the impact of new systems, system requests, and process enhancements to determine implementation priorities.
  • Ability to build and maintain strong working relationships with multiple stakeholders.
  • Must have experience managing databases and providing end-user support.
  • Demonstrated ability to work independently and collaboratively.
  • Ability to set priorities in a dynamic environment.
  • Bachelor’s degree and at least five years of experience working in college admissions or related field or equivalent experience and education. (Masters degree preferred)
